Scheduling appointments correctly improves access to care, supports provider productivity, reduces scheduling errors, and creates a consistent patient experience across all clinic locations.
Appointments should always be scheduled using the approved provider schedule, appropriate visit type, and correct appointment length. Staff should verify patient demographics and insurance before finalizing an appointment.
Responsibilities
Front Office
Schedule appointments accurately, verify patient information, explain appointment expectations, and provide instructions before the visit.
Providers
Maintain approved scheduling templates and communicate template changes through leadership.
Leadership
Review scheduling compliance, monitor template utilization, and approve template modifications.
Billing
Communicate scheduling requirements that may impact authorizations or covered services.
Scheduling Workflow
Identify the Patient
Verify the patient's identity using the Patient Identity Verification SOP before scheduling.
Determine the Visit Type
Identify whether the patient is new, established, annual wellness, follow-up, behavioral health, procedure, nurse visit, or telehealth.
Select the Appropriate Provider
Choose the provider based on clinic scheduling guidelines, patient preference, location, and service availability.
Select the Correct Appointment Length
Schedule the appointment using the approved duration for the selected visit type and provider template.
Verify Patient Information
Review demographic information, insurance, preferred phone number, and email before confirming the appointment.
Confirm the Appointment
Review the appointment date, time, provider, location, arrival instructions, and any required documentation with the patient before ending the call.
Appointment Types
Selecting the correct appointment type ensures providers have adequate time to care for patients and supports accurate scheduling throughout the clinic.
New Patient
Patients who have never established care with The Neighborhood Clinic or who meet the organization's criteria for new patient scheduling.
Established Patient
Patients returning for routine follow-up care or evaluation of existing conditions.
Annual Wellness / Physical
Schedule according to the provider's approved template and allotted appointment length.
Telehealth
Verify the visit is clinically appropriate for telehealth and confirm the patient has the necessary technology before scheduling.
Rescheduling & Cancellations
When a patient needs to reschedule or cancel an appointment, staff should assist them promptly while documenting the reason for the change when appropriate.
Locate the Existing Appointment
Review the patient's current appointment before making any changes.
Offer the Next Appropriate Opening
Schedule the patient into the next available appointment that meets clinical needs and provider availability.
Update RXNT
Cancel or reschedule the appointment using the appropriate scheduling status within RXNT.

No Double Booking
Double booking is not permitted unless specifically approved by leadership or the provider.
Verify Contact Information
Confirm the patient's phone number and email address during every scheduling interaction.
Arrival Instructions
Inform patients when to arrive, what documents to bring, and any preparation required for the visit.
