Financial Workflows

Policies and staff guidance

Open each section for the approved staff-facing approach.

Staff should

  • Use the approved current sliding-fee policy and application.
  • Explain required income and household documentation.
  • Avoid promising eligibility before the review is completed.
  • Document the application status and any missing items.
  • Escalate exceptions to leadership.

Do not

  • Create a discount outside the approved policy.
  • Backdate approval without authorization.
  • Skip required documentation.
  • Discuss another patient’s financial arrangement.

Standard workflow

  1. Review the account before discussing the balance.
  2. Confirm the amount due and whether it is current, prior, estimated, or pending insurance.
  3. Explain the balance calmly and without judgment.
  4. Collect payment according to clinic policy.
  5. Provide a receipt when requested.
  6. Document payment, refusal, hardship, dispute, or approved arrangement.

Escalate when

  • The patient disputes the charge.
  • The amount appears incorrect.
  • Insurance is still processing.
  • The patient requests a payment plan or financial assistance.
  • The balance may affect whether the visit proceeds.
